Reservations

• Quotes and proposals do not guarantee availability of rental equipment.

• Items will be reserved only upon receipt of a valid credit card, a signed rental contract and a 50% NON-REFUNDABLE deposit (cash, check or credit card).

• Final payment is due 30 days prior to delivery. If reservation is canceled prior to this date, the remaining balance will not be charged.

• If reserved items are canceled within 30 days of delivery, the remaining balance will be charged. 

• Items reserved within 30 days of delivery will be charged in full upon reservation.

Permits, Licenses, Consents

• Renter agrees that prior to the delivery of any rental equipment, including but not limited to tents, that renter shall secure any permits, licenses or other similar approval from any applicable governing authority that would be necessary for the subject rental equipment to be utilized. If renter fails to secure any legally required permit, license or approval, Buckeye Tents and Events, LLC reserves the right to refuse delivery of the subject rented materials. Renter agrees to be totally and completely responsible for any violations, fines or other similar penalties that may be incurred in relation to any failure to secure proper permits, licenses or other approvals. Renter further agrees to completely indemnify Buckeye Tents and Events, LLC as it relates to any such violations.

Site Preparation

• Tents can only be installed on grass areas.

• Renter shall ensure the site is ready (i.e. lawns mowed, vehicles out of the way, trees trimmed. etc.) before the crew arrives. We will not be responsible for moving any items on the property. 

• Prior to delivery, renter should identify where the four corners of the tent should go by marking off an area the size of the tent plus 5 feet greater on each side

• Renter is responsible for marking grounds in preparation for 42” stakes to secure tents. This includes marking all underground lines: telephone, water, sewer, gas, cable, electrical, conduits, pool lines, irrigation systems etc. 

• Buckeye Tents and Events, LLC will not be responsible for any underground damage. Buckeye Tents and Events will call OUPS 8-1-1, 48 hours prior to delivery, to have underground lines located.

Damages

• Responsibility for equipment remains with the renter from the time of delivery to the time of pickup. 

• Buckeye Tents and Events, LLC, its agents, employees and designees, are not responsible for any damage to any property caused by any of the rental equipment, including but not limited to vehicle and/or trailer,  provided by Buckeye Tents and Events, LLC.

Delivery and Pick Up

• All delivery fees are based on tailgate delivery and charged by geographic location. 

• Renter shall be available or have a representative present at the site to accept delivery and oversee placement of equipment.  

• All items will be delivered and picked up at a designated location. 

• Items that must be picked up at the end of the event, per the renter or venue, outside of normal business hours, will be charged additional fees. 

• We will strive to accommodate renter delivery requests; however, delays and changes in the schedule are sometimes unavoidable. We try to communicate any scheduling changes as they occur.

Tables and Chairs

• All items will be neatly stacked in a mutually convenient place upon delivery. 

• Renter takes full responsibility for proper setup of tables and chairs to ensure proper leg locking for full stability.

• Tables and chairs should be wiped clean, broken down, stacked and ready for pickup in the same place where originally delivered. Items not meeting these conditions are subject to additional fees. For each chair not stacked correctly or cleaned, a .25 fee will be applied. For each table not broken down, there will be a $1.00 fee applied.

Tents

• Adhesives, tape, nails, screws, signs, banners, curtains, flags, etc. are not to be attached to the interior or the exterior of the tent. Renter will assume financial responsibility for damage, including replacement cost of the unit if necessary.

• Customer agrees no cooking or heating sources or devices may be used in or near tents. Customer assumes full responsibility for costs incurred and damage and or cleaning expenses due to cooking or heating devices used under or near tents.

• Patio heaters are not permitted for use under or near tents. Customer is responsible for damages and/or cleaning required that result from what, soot, fire pits, torches and other similar sources. 

• Tents will be properly set-up and secured in a designated area by the delivery personnel. Tent should not be altered or moved from the original position.

Weather

• Renter understands that tents are temporary structures designed to provide limited protection from weather conditions, primarily sun and rain; however there may be situations, particularly those involving strong winds and lightning, in which tents will not provide protection and may even be damaged or blown over.

• Evacuation of tents to avoid possible injury is recommended when severe weather threatens the area where the tent is erected. People must leave the tents and not seek shelter in tents during such conditions. 

• Tents will not be set up or taken down in adverse weather conditions i.e. heavy rain, hail, lightning, snow, high winds etc. Buckeye Tents and Events reserves the right to determine if weather conditions are conducive for set up and removal. 

• We reserve the right to cancel your event before or after delivery if the forecast or actual weather conditions are a danger to safety, equipment, or our staff. Cancellations made by Buckeye Tents and Events will result in full refund.  

Liability

• Renter assumes the entire risk of loss, regardless of cause. If items are lost, stolen, damaged, renter will assume cost of replacement or repair, including labor costs. 

• Renter further agrees that the items will only be used at the address listed on contract, and only for the purpose for which it was intended and manufactured.

• Subleasing or improper use is prohibited. 

• Renter agrees to immediately discontinue the use of rented items should it at any time become unsafe or in a state of disrepair, and will immediately notify Buckeye Tents and Events of the facts. 

• In all events Buckeye Tents and Events shall not be responsible for injury or damage resulting in failure or defect of rented item.

• Buckeye Tents and Events will not be held responsible for accidental or purposeful damage caused by you or your guests. We assume no responsibility or liability for accidents or damage caused during your party or event.

• Buckeye Tents and Events will not be liable for claims for personal injury or death while using our equipment during your rental period.

• Any disputes that arise from this agreement or are in any way related to Buckeye Tents and Events, LLC, the renter and the rented equipment shall be governed by the laws of Ohio and shall be adjudicated, if necessary in Greene County Ohio. Both Buckeye Tents and Events, LLC and the renter consent to the courts of competent jurisdiction in Greene County Ohio as having exclusive jurisdiction over disputes arising from this agreement..
